Exporting From Your Current System

Before you can import homeowners into PorchQ, you need to export your resident list from your existing platform. Follow the instructions below for your current system.

Once you have your export file, see Homeowner Import → to format and upload it.

Buildium

Buildium stores resident contact information under Residents in the main navigation.

  1. Log in to Buildium and go to Residents
  2. Use the filter dropdown to select Current residents
  3. Click Export (top-right) → Export to CSV
  4. In the export dialog, select at minimum:
    • First name, Last name
    • Unit address
    • Email address
    • Phone number
  5. Click Download
note

Buildium exports one row per lease, not one row per person. If a unit has multiple occupants, you may get duplicate unit rows. Keep the primary contact row for each unit and remove duplicates before importing into PorchQ.

Rename columns before importing:

Buildium columnPorchQ column
Unitunit_number
Property Addressstreet_address
First Namefirst_name
Last Namelast_name
Emailemail
Phonephone

HOA Express

HOA Express keeps homeowner data under Directory or Members.

  1. Log in to HOA Express and go to Admin → Directory
  2. Click Export Members or Download CSV
  3. Select All Active Members when prompted
  4. Download the file
tip

HOA Express exports include custom fields you may have added. Extra columns are ignored by PorchQ's importer, so you don't need to delete them.

Rename columns before importing:

TOPS Pro manages owner data through its Owner module.

  1. Open TOPS Pro and navigate to Owner → Owner List
  2. Click Reports → Owner Mailing List (or use the Export function in the toolbar)
  3. Select Active Owners and choose CSV/Excel as the output format
  4. Run the report and save the file
note

TOPS Pro exports may include association-level data across multiple properties. If you manage multiple associations, filter the export to one association at a time before importing into PorchQ.

Using a Different System?

If your current platform isn't listed above, you can still migrate to PorchQ. Most HOA software can export to CSV or Excel.

How to format your export

  1. Find the export feature — Look in your current system under Residents, Members, Owners, or Directory. Common export options are labeled "Export to CSV", "Download", or "Reports".

  2. Download the file — Save it as a .csv file. If your system only exports to Excel (.xlsx), open it in Excel or Google Sheets and use File → Download → CSV.

  3. Rename your columns to match PorchQ's expected names:

    Your column (any name)Rename to
    Unit, Lot, Parcel, Suiteunit_number
    Address, Street, Property Addressstreet_address
    First, First Name, Given Namefirst_name
    Last, Last Name, Surnamelast_name
    Email, Email Addressemail
    Phone, Mobile, Cellphone
  4. Remove unneeded columns — Extra columns are ignored, but a cleaner file is easier to review.

  5. Check for blank rows — Delete any blank rows at the top or bottom of the file.

See Homeowner Import → for the full column reference and example CSV.

tip

If you're unsure whether your export is formatted correctly, paste the first few rows into a text editor. A valid CSV looks like: 101,123 Oak St,Jane,Smith,jane@example.com
