Amenity Booking

Reserve community amenities like pools, clubhouses, tennis courts, and other shared spaces directly through the portal.

Viewing Available Amenities​

Navigate to the Amenities tab to see all bookable facilities in your community. Each amenity listing shows:

  • Name and Description: What the space is and what it includes
  • Capacity: Maximum number of guests allowed
  • Availability: Whether bookings are currently accepted

Making a Reservation​

  1. Go to the Amenities tab
  2. Select the amenity you want to book
  3. Choose your preferred date and time
  4. Review the booking details:
    • Duration of your reservation
    • Any applicable rules or fees
    • Cancellation policy
  5. Click Book to confirm

Booking Rules​

Each amenity may have specific booking constraints:

Lead Time​

Some amenities require advance booking. For example, you might need to reserve the clubhouse at least 48 hours ahead. The system will show the earliest available booking time.

Cancellation Window​

Reservations often have a cancellation deadline. For instance, you may need to cancel at least 24 hours before your reservation time. Cancellations after this window may not be refunded or may incur fees (depending on community policy).

Capacity Limits​

Each amenity has a maximum capacity. When booking, you may be asked to specify the number of guests to ensure the space isn't overbooked.

Approval Workflow​

Some amenities require management approval before your reservation is confirmed:

  1. Submit your booking request
  2. Your request status shows as Pending Approval
  3. A board member or property manager reviews the request
  4. You'll receive notification when it's Approved or Declined

Amenities requiring approval will be clearly marked. Plan ahead and submit requests early for time-sensitive events.

Blackout Periods​

Amenities may have blackout periods when they're unavailable:

  • Scheduled maintenance windows
  • Community events with exclusive use
  • Seasonal closures (e.g., pool winterization)

Blackout periods appear on the calendar and prevent bookings during those times.

Timezone Considerations​

All booking times are displayed in your community's configured timezone. If you're traveling or in a different timezone, keep this in mind when making reservations.

Managing Your Reservations​

View and manage your bookings:

  • Upcoming Reservations: See all your future bookings
  • Cancel a Reservation: Cancel before the cancellation deadline
  • Booking History: View past reservations

Tips for Booking​

  • Book early: Popular amenities and peak times fill up quickly
  • Check the rules: Each amenity may have specific usage guidelines
  • Confirm approval: For amenities requiring approval, wait for confirmation before making other plans
  • Cancel if plans change: Free up the space for others if you can't make your reservation
