Maintenance Requests

Report issues in common areas or request service for your unit directly through the portal.

Submitting a Request

  1. Go to the Maintenance tab
  2. Fill in the request form:
    • Title: A clear summary of the issue (e.g., "Street light out on Elm St")
    • Category: Type of maintenance (e.g., Plumbing, Landscaping, Electrical)
    • Description: Detailed explanation of the problem, including location
    • Priority: How urgent is this?
      • High: Safety hazards, water leaks, urgent issues
      • Medium: Important but not urgent (broken fixtures, cosmetic damage)
      • Low: Minor issues that can wait
    • Photos: Upload up to 5 images (JPG or PNG) to help illustrate the issue
  3. Click Submit request

Tracking Status

You can track the progress of your requests on the Maintenance page. Request statuses include:

  • Open: The request has been submitted and is awaiting review.
  • In Progress: A vendor or staff member is actively working on it.
  • Scheduled: Work has been scheduled for a specific date.
  • Resolved: The issue has been fixed and the request is closed.

Request details include any photos attached to the request. Residents can edit or delete requests they submitted; board members and managers can manage requests for the community.

Service Level Agreement (SLA)

Your community may have response time targets for maintenance requests. If enabled, you'll see estimated resolution times based on the request priority. High-priority requests typically have shorter target resolution times.

Updates & Notifications

You will receive notifications when the status of your request changes. Depending on your community's settings, you may receive:

  • Email notifications for status updates
  • SMS text notifications for urgent updates (if enabled by your community)

Your board or property manager will update the status as work progresses.

Tips for Effective Requests

  • Be specific about the location (building number, floor, unit area)
  • Describe when the issue started or was first noticed
  • Include photos when possible - they help maintenance teams prepare the right tools and parts
  • For recurring issues, mention any patterns you've noticed
