Fee Schedules
Set up recurring assessment schedules to automatically generate charges for your community. Fee schedules define the timing, frequency, and amounts for regular HOA dues and assessments.
Understanding Fee Schedules
A fee schedule defines:
- When charges are generated (frequency and timing)
- How much each resident pays (can vary by unit type)
- What the charge is for (description)
Creating a Fee Schedule
- Go to Fee Schedules in your board portal
- Click New Fee Schedule
- Configure the schedule:
Basic Information
- Name: Descriptive name (e.g., "Monthly HOA Dues", "Quarterly Assessment")
- Charge Description Template: Text that appears on resident statements (e.g.,
Monthly Assessment - {{month}})
Timing
- Frequency: How often charges are generated
- Monthly
- Quarterly
- Annually
- Semi-annually
- Day of Month: Which day charges are created (1-28)
- Effective Date: When the schedule starts
- End Date: When the schedule ends (optional - leave blank for ongoing)
Fee Tiers
Different amounts based on unit type:
- Click Add Tier
- Select the Unit Type (apartment, house, condo, etc.)
- Enter the Amount for that unit type
- Repeat for each unit type with different fees
Example:
| Unit Type | Monthly Amount |
|---|---|
| 1-Bedroom | $250 |
| 2-Bedroom | $325 |
| 3-Bedroom | $400 |
- Click Save
Managing Fee Schedules
Editing a Schedule
- Find the schedule in the list
- Click Edit
- Update the details or tiers
- Save changes
caution
Editing a fee schedule affects future charges only. Past charges are not modified.
Deactivating a Schedule
If a fee schedule is no longer needed:
- Click Deactivate on the schedule
- The schedule stops generating new charges
- Historical data is preserved
Deactivate schedules when:
- Assessment amounts change (create a new schedule with new rates)
- The fee type is discontinued
- You're transitioning to a new billing structure
Generating Charges
Fee schedules automatically generate charges based on the frequency and timing you set. When charges are generated:
- The system identifies all active memberships
- Matches each resident to their unit type
- Creates a ledger entry with the appropriate amount
- Sets the due date based on your configuration
You can also manually trigger charge generation from the fee schedule if needed.
Best Practices
- Plan ahead: Set up schedules before their effective date
- Use clear names: Make it obvious what each schedule is for
- Document changes: When changing rates, deactivate the old schedule and create a new one rather than editing
- Review regularly: Ensure fee schedules match your budget and governing documents
- Test with tiers: If you have different unit types, verify each tier amount is correct
