Announcements
Broadcast news to your whole community. Announcements appear in every resident's portal and are sent by email when published — use them for maintenance windows, rule reminders, event notices, and anything else everyone should see.
This guide applies to Owners and Managers (staff). Residents read announcements in their portal — see the resident guide.
Creating an Announcement
- Go to Announcements in your board portal
- Click New announcement
- Fill in the form:
- Title: A short, scannable headline (e.g., "Water shutoff – April 5th")
- Message: The full details for your community
- Priority: Low, Normal, High, or Urgent — shown as a colored badge to residents
- Expires at (optional): A date after which the announcement is marked expired
- Click Create announcement
New announcements start as drafts — they are not visible to residents until you publish them.
Publishing
Publishing makes the announcement visible to all residents and queues notifications:
- Find the draft (marked with a Draft badge)
- Click Publish
You'll see "Announcement published and notifications queued." Residents receive the announcement by email and see it in their portal, where it counts toward their unread badge until they read it.
Draft first, publish when ready. Because publishing triggers email to the whole community, proofread the title and message before you publish — edits after publishing won't re-send the email.
Editing and Deleting
- Edit: Open the announcement's menu and choose Edit. Changes apply immediately for published announcements (residents see the updated text in their portal, but no new email is sent).
- Delete: Choose Delete and confirm. This permanently deletes the announcement and cannot be undone.
Expiration
If you set Expires at, the announcement shows its expiration date and is marked as expired after that date passes. Expired announcements remain in your list for reference but signal to residents that they're no longer current. Use expiration for time-boxed notices like amenity closures or registration deadlines.
Resident Questions
Residents can click Ask a question on any announcement to start a private Communications thread linked to it. These threads arrive in your Communications inbox tagged Announcement Followup, with the announcement attached as a source badge — so you always know which notice the question refers to.
Best Practices
- Reserve Urgent for true emergencies: Water shutoffs, gate failures, safety issues
- Put the date in the title: "Pool closed June 14–16" beats "Pool closure notice"
- Set expirations on time-boxed notices: Keeps the resident view current without manual cleanup
- Use Communications for individual matters: Announcements go to everyone — for one resident, start a private thread instead
